Account & Data Deletion

In short

To delete your NGALMS account and its data, email support@tresverse.com from the address on your account, or ask your institution's administrator. Include your full name, your institution, and your role. We confirm within 7 days and complete verified deletions within 30 days. You do not need the app installed, and there is nothing to pay.

First, how NGALMS accounts work

NGALMS is supplied to colleges and universities, not to individuals. There is no public sign-up: your account was created for you by your institution, and your institution controls the records inside it. In data-protection terms your institution is the controller and we are the processor acting on its instructions.

That is why the fastest route is almost always your own administrator — they can delete your account immediately, without waiting on us. We can act directly too, and we will if your institution is unresponsive or no longer exists, but we may need to confirm the request with them first.

What you can delete yourself, right now

Two things need no request at all, and take effect immediately:

Your profile picture

Sign in, open Settings, and choose Remove under your profile photo. The image is deleted from our storage and your account falls back to initials.

This device's notification data

Sign out in the mobile app. That detaches this device's push-notification token from your account, so it stops receiving your notifications — which matters most on a shared or handed-down phone. Uninstalling the app also stops delivery.

Everything else — your account itself, grades, attendance, submissions — is institutional record data, so it goes through the request process below.

How to request full account and data deletion

Choose a route

Your institution's administrator is fastest — they can action it the same day. For students this is usually the registrar, exam cell, or IT office; for staff it is usually HR or the IT administrator.

Or email us at support@tresverse.com. Use this if you would rather not go through your institution, cannot reach them, or your institution has stopped using NGALMS.

Send the request

Email support@tresverse.com with the subject "Account and data deletion request" and include:

  • Your full name, as it appears on your account
  • Your institution's name (and its NGALMS web address, if you know it)
  • Your role — student, faculty, administrator, or staff
  • Your student/employee ID or roll number, if you have one — it is the quickest way for us to find the right account
  • Whether you want full deletion or only deactivation (see below)

Please send it from the email address on your account where possible. If you can't, say so — we will verify another way rather than refuse the request.

We verify who you are

We check that the request genuinely comes from the account holder. This exists to protect you: without it, anyone could erase a classmate's academic record. If we cannot verify you from the email alone, we will ask for one additional confirmation, usually through your institution.

Deletion is carried out and confirmed

We reply to confirm receipt within 7 days, and complete verified deletions within 30 days. You will get written confirmation when it is done, including anything we had to retain and why.

Deletion or deactivation?

Deactivation keeps the record but blocks all sign-in and stops every notification. It is reversible and it is usually the right choice for someone on leave, between terms, or graduating — and for students it avoids destroying a transcript you may need later.

Full deletion permanently removes the account and the data listed below. It cannot be undone, and it cannot be restored from backups. If you do not say which you want, we will ask before doing anything irreversible.

Your role, specifically

The process is the same for everyone; what differs is who to ask and what is likely to be retained.

Studentenrolled learner

Ask your registrar, exam cell, or IT office, or email support@tresverse.com. Expect academic results to be retained where your institution or regulator requires it — see below. If you only want to stop using the app, deactivation is usually the better option.

Faculty / Teacherteaching staff

Ask your HOD, HR, or IT administrator, or email support@tresverse.com. Coursework you authored — assignments, quizzes, uploaded resources — belongs to the institution and normally stays so current students do not lose their materials. Your personal account, profile and login history are deleted.

Head of Departmentdepartment administrator

Ask your institution administrator, or email support@tresverse.com. Departmental records you created — meeting minutes, notices, complaint decisions — are institutional and are normally reassigned rather than deleted.

Institution Administratorcollege admin account

Email support@tresverse.com directly — you may be the only administrator, so there is no one above you to ask. Tell us who should inherit administrative access, or whether the institution is closing its account entirely. Administrative actions remain in the institution's audit log, which we do not erase.

Staffnon-teaching staff

Ask HR or your IT administrator, or email support@tresverse.com. Same process as faculty.

Platform OperatorNGALMS-side operator account

Email support@tresverse.com. Operator accounts are internal to us and are removed directly; platform audit records of operator actions are retained for accountability.

Whole institution leaving NGALMS? An administrator should email support@tresverse.com. We will export the institution's data for it, then delete the tenant and every account in it on written instruction.

What is deleted

When an account is fully deleted, the account record goes and everything attached to it is removed with it:

  • Your name, email, phone number, and login credentials
  • Your profile details and profile picture
  • Enrollments, attendance records, and submitted assignment files
  • Grades, marks, and generated performance or insight reports
  • Quiz attempts and answers
  • Notifications, reminders, office-hour bookings, and leave requests
  • Complaints you filed under your own name
  • Registered devices and push-notification tokens
  • Password-reset tokens and pending outbound messages

This is a real deletion of the underlying rows, not a hidden flag on an account we keep.

What is retained, and why

Being straightforward about the limits, because they are real:

  • An audit record of the deletion. Your institution's audit log keeps an entry showing that an account was deleted, when, by which administrator, and the email address affected. It is deliberately not erasable — it is what makes administrator actions accountable, including this one.
  • Academic records your institution must keep. Colleges frequently have statutory or accreditation obligations to retain results, award records, and examination data for a fixed number of years. Where that applies, your institution decides what must stay; we will tell you exactly what was kept.
  • Anonymous aggregates. Institution-level counts and averages that no longer identify you — for example a class attendance percentage — are not reconstructible into personal data and are not deleted.
  • Encrypted backups, briefly. A copy may persist in routine encrypted database backups until those backups age out on their normal rotation. They are never used to restore a deleted account.

Anonymous complaints are a deliberate exception in the other direction: they never stored your identity in the first place, so there is nothing in them to delete.

Uninstalling the app is not the same as deleting your data

Removing the Android app stops notifications and removes it from your phone, but your institution's records stay exactly as they are — the app is a way in to your college's NGALMS site, not the place the data lives. To delete the data itself, use the request process above.

If you are unhappy with the outcome

Reply to our confirmation email and say so; we will look again. If your institution has declined a deletion you believe it should have granted, we will tell you plainly that the decision was theirs and put you in touch with the right person there. Depending on where you live you may also have the right to complain to a data-protection authority.
